The reason is acoustic rather than aesthetic. Open plan working generates constant low-level noise and a soft finish absorbs it, while circulation routes and entrances need a surface that takes grit, wheels and weather without showing it.

The finish is rarely the hard part. What separates an office floor that still looks right in year eight from one that is tired in year three is the preparation underneath it, the way the zones meet each other and whether the specification accounted for how the space will be reconfigured. Offices change layout far more often than they change floors.

Reception and entrance areas

Reception is the part of an office floor most often judged on appearance before performance, alongside boardrooms and client meeting suites, which is why it is so often specified badly. It is also the wettest and grittiest part of the building, because everyone who enters walks in from outside.

Two things decide whether it works. The first is the matting well, which needs to be long enough to take water and grit off feet before they reach the main finish. Three metres of walked-on matting is a common target and anything less pushes the cleaning burden onto the finish behind it. The second is slip resistance measured wet rather than dry, because a polished stone or a smooth LVT that tests well in a showroom can drop below a safe pendulum value the moment it rains.

Beyond that, reception finishes are chosen for the impression they make. Large-format porcelain, terrazzo, stone and high-specification LVT all appear. The practical consideration is the transition into the working floor behind, where a hard finish meeting carpet needs a flush detail that will not become a trip point once both surfaces have settled.

Open plan floors and acoustics

Open plan is where acoustic performance stops being a nice-to-have. There are two separate problems and specifiers routinely conflate them.

Impact sound insulation is about what the floor below hears. It is measured as a reduction in impact sound pressure and it matters where an office sits above another tenancy, a residential unit or a quiet use such as a consulting room. A backed vinyl, an acoustic LVT or a carpet with a suitable backing all improve it, though the figure quoted by a manufacturer is a laboratory value and the achieved performance depends on the structure it is bonded to.

Sound absorption is about what the room itself sounds like. It is the thing occupants actually complain about, because a hard-floored open plan office with hard ceilings and glass partitions turns keyboard noise and conversation into a wash of sound that makes concentration difficult. Carpet is the single most effective flooring answer to it and the reason carpet still dominates open plan floors despite hard finishes being more fashionable. Where a hard finish is wanted anyway, the absorption has to come from somewhere else in the room – ceiling rafts, wall panels or furniture – and the flooring decision has effectively pushed cost into another package. Castor chairs and rolling loads

An office chair concentrates the weight of a person onto five small wheels that travel the same short arc thousands of times a week. It is a far more aggressive load than foot traffic and it is the reason so many office floors fail in a pattern that matches the desk layout.

Finishes are tested for castor chair suitability under EN ISO 4918, the standard that replaced EN 425. The suitability rating should be checked against continuous use rather than occasional use, because the two are different classifications. Carpet needs a construction dense enough that the wheels do not abrade the pile or drag the tile out of position. The two practical protections are a suitable finish and the right chair wheel. Chair mats are a reasonable retrofit where the furniture is already in place, but a new floor that needs them across the plate was the wrong specification.

Meeting rooms, breakout and tea points

Meeting rooms usually take the same finish as the open plan around them, occasionally with a different colourway to signal the change of use. The specification driver is acoustic again, because a hard-floored meeting room with glass walls is uncomfortable to sit in and awkward on video calls.

Tea points and kitchenettes are the failure point in most office fit-outs. They are the only part of a working floor with a live water supply and a carpet or a butt-jointed hard finish running up to a sink is a leak away from a costly reinstatement. The right answer is a welded impervious finish – sheet vinyl or a resilient safety finish where slip risk is higher – carried far enough beyond the joinery run that a spill has somewhere to go with the perimeter detailed properly rather than sealed with mastic as an afterthought. Where catering is more substantial than a kettle and a fridge, the requirement moves towards a full commercial kitchen specification.

Breakout and informal areas sit between the two. They see food and drink, so they need to clean easily, but they also need to feel different to the desk floor. A durable resilient finish or a solution-dyed carpet in a darker colourway both work.

Circulation, lifts and stairs

Circulation routes carry every journey in the building through a narrow footprint, so they wear at several times the rate of the floor either side of them. Treating them as part of the open plan specification is the most common way to end up with a visibly worn strip down the middle of a floor that is otherwise fine.

Where the finish is carpet tile, the answer is often the same product in a different colourway laid as a defined route, so wear is designed into a band that can be replaced without touching the surrounding floor. Where the finish is hard, the answer is a higher wear classification along the route.

Stairs need their own thought. Nosings have to contrast visually with the tread for accessibility, they need to be mechanically fixed rather than relying on adhesive alone and the tread finish has to hold its slip resistance when it is worn as well as when it is new. Stair coverings are also the part of an office floor most likely to be challenged at handover. Reaction to fire belongs on the same drawing. Floor coverings carry a Euroclass rating under EN 13501-1, written as a main class with an s smoke sub-class and protected stairs, lobbies and other escape routes normally carry a higher requirement than the open floorplate does.

Raised access floors

Most modern office floorplates sit on a raised access floor, which changes the flooring specification in three ways.

The first is movement. A raised floor is a grid of panels on pedestals and it flexes and moves fractionally under load in a way a slab does not. A monolithic finish bonded across panel joints will telegraph those joints or crack along them, which is why tiled and modular finishes dominate raised floors and sheet materials are laid with care or avoided.

The second is access. The whole point of a raised floor is that panels lift for services, so a finish bonded permanently across the grid defeats it. Carpet tiles laid on a tackifier lift and relay cleanly, which is one of the quieter reasons they became the default office finish. Where a bonded finish is used, the specification should identify which zones will realistically need lift-out access and treat them differently.

Office slabs, old adhesive and moisture

Where the finish sits on a slab rather than a raised floor, subfloor preparation decides the result more than the finish does. Office slabs in refurbished buildings carry old adhesive residues, patch repairs, level variations and sometimes screeds of unknown composition. A resilient finish shows every one of those defects through it, because the material is thin and flexible enough to take the shape of what is underneath.

Moisture is the risk that turns a fit-out into a claim. A slab that has not dried, or one without an effective damp proof membrane, will push moisture into the adhesive and lift the finish months after handover. Relative humidity should be measured rather than assumed and where the reading is too high an epoxy DPM is applied before the smoothing compound goes down. This is a cheap step at the right moment and an expensive one after the floor is laid and the furniture is in.

Phased fit-outs and working around occupation

Very few office flooring projects happen in an empty building. Most run floor by floor while the rest of the building works, which puts constraints on the specification that have nothing to do with performance.

Lift access limits roll sizes and pallet weights, so a material that arrives in four-metre rolls may simply not reach the eighth floor. Working hours limit noise and odour, which rules out some adhesives and preparation methods during occupied hours. Cure times decide whether a floor can be walked and loaded the next morning or three days later and on a phased programme that difference is what decides the sequence.
